Overall Responsibility:

The Special Events Director serves as the primary point of contact for all special events and marketing initiatives of the Downtown Fond du Lac Partnership (DFP). This position is responsible for planning, executing, and evaluating downtown events and communications strategies, as outlined by the Board of Directors. The role is highly visible and requires collaboration with a wide range of community partners.

Required Proficiencies:

  • Basic troubleshooting of office technology (computer, printer, phone systems)

Primary Responsibilities:

Special Events Management

· Plan and execute all DFP special events, including but not limited to the Saturday Farmers Market, Wine Walks, and Fondue Fest

· Establishing and adhering to timelines for pre-event planning, day-of execution, and post-event follow-up

· Oversee all aspects of event logistics including sponsorship acquisition, budget management, vendor coordination, marketing, and onsite operations

· Ensure events meet organizational goals for community impact and financial sustainability

· Facilitating communication across all teams and individuals involved

· Timely completion of tasks to ensure the entire timeline stays on track

Marketing & Promotions

· Develop innovative promotions and creative strategies to increase downtown engagement

· Work with businesses on fresh, effective ideas for participating in downtown promotions

· Manage all print and digital marketing materials, including oversight of website content and social media platforms

Communications

· Ensure all communications are thoroughly proofread and finalized to maintain accuracy and minimize the need for revisions

· Write and distribute press releases, newsletters, advertisements, and the DFP Annual Report

· Oversee all organizational communications, including social media, email marketing, and crisis messaging

· Maintain a consistent and professional brand voice across all platforms and materials

Community Engagement & Outreach

· Build and maintain relationships with downtown businesses, community partners, and event participants

· Identify and pursue collaborative opportunities to expand programming and event reach

· Grow the DFP’s social media presence and digital communications strategy

Sponsorship & Fundraising

· Develop compelling sponsorship packages to support DFP events

· Cultivate corporate relationships to meet fundraising goals

· Oversee sponsor fulfillment and reporting

Volunteer Coordination

· Build and maintain a dedicated volunteer team to support special events

· Recruit, train, schedule, and supervise volunteers and event-day teams

· Foster a positive, engaging volunteer experience to encourage long-term involvement and satisfaction

Training and Development

· Participate in the recruitment, hiring, and onboarding of staff members

· Identify and engage qualified individuals best suited for each role

· Provide clear expectations, guidance, and performance oversight

· Ensure team members are equipped with the necessary tools, training, and resources to succeed

· Foster a collaborative and motivated team culture through leadership, accountability, and positivity

Physical Requirements:

The Special Events Director of the Downtown Fond du Lac Partnership must meet the following physical requirements: lift up to 50 pounds, stand, sit, walk, for various amounts of time. A valid driver’s license is required to operate a motor vehicle for job-related tasks.

Accountability:

This position reports directly to the Executive Director of the Downtown Fond du Lac Partnership and works collaboratively with the Board of Directors to support the organization’s mission and programs.

Work Schedule:

This could be a full-time hourly position, or divided into two part time positions - 20 hours weekly with somewhat flexible schedules (one position focused on special events, and one position focused on marketing and communications). Regular attendance at special events is required as part of this role.
