Job Description:

We are seeking a Production Coordinator to join the Arts Department's Asset Centers team. This role provides hands-on support across warehouse operations, production communications, logistics, and administrative functions. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced, deadline-driven environment while coordinating with productions, vendors, and internal teams.

Day-to-Day Responsibilities:

• Warehouse & Facility Support: Oversee facility needs, schedule maintenance, manage supplies, assist with IT support, and host tours.

• Production Communications & Logistics: Coordinate production communications, schedule calls and meetings, take and distribute notes, manage donations/sales agreements, and update show reports in Smartsheet.

• Administrative Support: Process invoices and billing, vendor onboarding, track costs, manage logs, process timecards, and assist with ID badges and access requests.

• Ad-hoc Support: Assist with asset pickups, labor coordination, and miscellaneous executive requests.

Requirements:

Must-Haves:

• Experience 1-2 or relevant experience in admin, or production
• Admin experience/ production
• Willing and flexible and can-do attitude
• Great written and verbal communication; able to manage all types of personalities.
• Willingness to work overtime and on weekends with short notice.
• Must be willing to submit to a background investigation.
• Must have work authorization to work in the United States.
• Excellent organizational and multi-tasking skills.
• Flexible, personable, self-starter, and extremely detail-oriented with the ability to interface with the outside vendors as well as all levels of staff.
• Ability to work well with others and collaborate across the organization to achieve goals.
• Ability to work well in a fast paced, deadline driven environment.
